How to make a photo calendar – step by step

A photo calendar hangs on the wall for a whole year, so a little planning pays off. With the right photo for every month, the family's birthdays and a layout that suits your pictures, it becomes more personal than any ready-made template. Here is the way from a folder of photos to a finished PDF.

Start right away: add photos, pick a layout, enter birthdays and save a print-ready PDF. Free, no upload, no watermark.

Format and timing

Before you sort photos, decide on the format. It sets how much room the photo and the calendar grid get. The tool uses ISO paper sizes, which are standard in Europe and at most online print shops.

FormatEffectGood for
A4 portraitThe classic, fits any wallFamily calendars with room for dates
A4 landscapeLandscape photos look bigTravel and nature photos
A3 portrait or landscapeEye-catching, readable from a distanceKitchen, hallway, office
21 × 21 cmModern and calmSquare photos, collages
A5 landscape (desk calendar)Small, for the deskGifts for colleagues, office

The calendar does not have to start in January. For school children August or September is practical; as a birthday present, the month after the birthday.

Allow time for printing. In a German comparison by heise, photo services took three to six working days to deliver – often longer before Christmas. Printing at home takes an evening plus, if you like, a trip to a copy shop for binding.

Choosing photos

You need 13 photos: one for the cover and twelve for the months – more if you use collages or pages with two to four photos.

Layout and style

One layout for all months looks calm and high-quality. Single months may break the pattern – say, the holiday month as a collage. In the tool, change “Layout of this page” for that.

LayoutSuits
Photo on top, calendar belowAll-rounder, lots of room for dates
Calendar on top, photo belowWhen the dates should be at eye level
Full-page photo with day stripStrong landscape shots – the photo fills the page
Gallery frameCalm, elegant look with a white margin
Instant photoPersonal snapshots, caption in handwriting
Photo left, day list rightPortrait photos and many birthdays
Two photos, collage, four photosHolidays, parties, busy months

The style sets fonts and colors: “Colorful” or “Pastel” for children and family calendars, “Minimal” or “Nordic” for landscapes, “Classic” for grandparents – with easy-to-read numbers.

No cropping: with the photo format “Like the photo”, every frame takes the exact shape of its photo and the layout adapts. You don't have to think about crops at all. For a uniform look, pick “All 4:3” or “3:2”.

Birthdays and dates

This is what makes the calendar truly personal – and useful.

Final touches

  1. Check the crop: drag and zoom the photo in the preview. Don't cut off heads, and don't put the horizon exactly in the middle.
  2. A caption for each month, e.g. “Summer at the seaside” – short and without the year, which is already printed.
  3. Watch the quality indicator: red means the photo is too small for its area. Pick another photo or zoom out.
  4. Look at all pages together: the overview shows when two similar photos sit next to each other. Swap pages by dragging.
  5. Cover title such as “The Smiths” or “Our year” – the year is added automatically.

Photos are sorted by the month they were taken, birthdays count the age, Ctrl+Z undoes – all in your browser.

For a print shop, choose the “Print shop” mode in the tool: the PDF gets 3 mm bleed and leaves room at the top for the binding. All details on print files, paper and binding are in How to print a photo calendar.

FAQ

How many photos do I need for a photo calendar?

13: one for the cover and twelve for the months – more with collages or pages with several photos.

Does the calendar have to start in January?

No. You can start in any month, e.g. August for a school year. The year then reads like “2027/2028”.

Are my photos uploaded?

No. The calendar is made entirely in your browser; your photos never leave your device.

Does the tool cost anything?

No, it is free and has no watermark. You only pay for printing – paper and ink at home, or the print shop's price for format and paper.

Can I continue later?

Yes. Settings, dates and captions stay saved in your browser. Photos and crops too if you tick “Remember photos and design on this device”.

Are public holidays included?

No. Add the holidays that matter to you as dates – movable ones like Easter for the specific year.
